Ming (“we,” “us,” or “our”) operates the hireming.com website and the Ming platform (the “Service”). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.

Information we collect

Account information

When you create an account, we collect your name, email address, company name, and password (stored as a secure hash — we never store plaintext passwords).

Business data from connected integrations

When you connect third-party services to Ming, we access and store business data from those services on your behalf. This includes:

From Shopify: Order data (order totals, dates, products purchased, fulfillment status), customer data (names, email addresses, purchase history, lifetime value), product data (titles, prices, inventory levels, variants), and discount code usage. All data is accessed read-only through Shopify's official API.

From Klaviyo: Subscriber profiles (names, email addresses, engagement data), campaign performance metrics (open rates, click rates, revenue attribution), and flow configurations. All data is accessed read-only.

From Google Analytics, Search Console, and Postmaster Tools: Website traffic data (sessions, page views, traffic sources), search query performance (clicks, impressions, rankings), and email deliverability metrics. All data is accessed read-only.

From Microsoft Clarity: Session recording summaries and heatmap data. All data is accessed read-only.

From Fairing: Post-purchase survey responses and attribution data.

Usage data

We collect information about how you interact with the Service, including messages sent, features used, specialist interactions, and session duration. This data is used to improve the Service and calculate usage metrics.

AI interaction data

Messages you send to AI specialists and the AI's responses are stored to maintain conversation history and improve the Service's knowledge system. The AI learns patterns specific to your business to provide better recommendations over time.

How we use your information

We use the information we collect to:

• Provide, operate, and maintain the Service
• Sync and analyze your business data to generate insights and recommendations
• Power the AI specialists with context about your business
• Track decisions, measure outcomes, and improve recommendation quality over time
• Process your account and manage your subscription
• Communicate with you about the Service, including support and updates
• Monitor and analyze usage patterns to improve the Service
• Detect, prevent, and address technical issues

Data isolation and security

Ming is a multi-tenant platform. Your business data is logically isolated from all other customers' data using tenant-scoped database architecture. Every database query is restricted to your tenant. No other customer can access your data, and your data is never used to inform recommendations for other customers.

We protect your data using:

• AES-256-GCM encryption for all stored API credentials and access tokens
• HTTPS/TLS encryption for all data in transit
• JWT-based authentication with secure session management
• Regular security monitoring and access logging

Data sharing and disclosure

We do not sell your personal information or business data. We do not share your data with other Ming customers.

We may share information in the following limited circumstances:

• Service providers: We use third-party services to operate the platform, including Anthropic (AI processing), Neon (database hosting), and Vercel (web hosting). These providers process data on our behalf under contractual obligations to protect your information.
• AI processing: Your messages and business data context are sent to Anthropic's Claude API to generate AI responses. Anthropic does not use this data to train their models. Refer to Anthropic's privacy policy for details on their data handling.
• Legal requirements: We may disclose information if required by law, regulation, legal process, or governmental request.
• Business transfers: In connection with a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.

Data retention

We retain your business data for as long as your account is active. If you disconnect an integration, we stop syncing new data from that source but retain previously synced data unless you request deletion. If you delete your account, we delete all associated data within 30 days.

Conversation history and AI interaction data are retained for the lifetime of your account to maintain the knowledge system's accumulated learnings.

Your rights

You have the right to:

• Access the personal and business data we hold about you
• Request correction of inaccurate data
• Request deletion of your data (subject to legal retention requirements)
• Disconnect any integration at any time, stopping further data collection from that source
• Export your data upon request
• Close your account at any time

Third-party integrations

Ming connects to third-party services (Shopify, Klaviyo, Google, etc.) using OAuth or API keys that you provide. We access only the data scopes you authorize. You can revoke Ming's access at any time through the third-party service's settings or through Ming's integration settings.

We are not responsible for the privacy practices of third-party services. We encourage you to review their privacy policies.

Cookies

We use essential cookies for authentication and session management. We do not use advertising or tracking cookies.

Children's privacy

The Service is not intended for individuals under the age of 18. We do not knowingly collect personal information from children.

Changes to this policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page and updating the “Last updated” date. Your continued use of the Service after changes constitutes acceptance of the updated policy.
